TRADE SALES ADMINISTRATOR / ORDER PROCESSOR (FULL TIME)

DEPARTMENT: TRADE DIVISION (TRUEDOR)

Reporting to: Trade Sales Administration Team Leader

Main Objectives:

  1. Ensure the efficient and effective administration of the sales order processing / estimating function
  2. Help to achieve customer satisfaction by following up customer enquiries and service requests in a timely manner and by providing the highest levels of customer service.
  3. Effectively administrate all trade customer service issues.
  4. Also to be responsible for carrying out all aspects of administration


Duties & Responsibilities include:

Sales Order Processing

  • Process sales orders in an accurate and timely manner in accordance with the trade office procedures (copy available on request).
  • Taking orders placed on-line or by email & fax; processing and entering them onto the system
  • Contact customers directly by telephone and email to discuss their requirements.
  • Ensure that all paperwork is correctly filed and archived as necessary.
  • Ensure accurate checking of all orders input onto the system and making sales order amendments where necessary.

Estimating and follow up

  • Process quotations for trade customers in an accurate and timely manner and follow up by telephone to win orders
  • Contact and build relationships with new and existing I G Doors trade clients.
  • Handling customer requests for information, creating new business leads and organising follow up activities by working with telesales personnel.
  • Work closely with and provide support to the trade sales manager and the external sales team
  • Maintenance of good customer relations and management of customer records via CRM, excel databases etc

 

Customer Service

  • Dealing with customer service issues arising from trade sales.
  • Log enquiries on the After-Sales database.
  • Process all orders for replacement products and spare parts
  • Work with IG Doors Warranty Response Team to arrange site visits where necessary.
  • Monitor deliveries using the OTIF system and keep customers informed by telephone of any delays.
  • Liaise between customers and all IG Doors departments

Other duties may include

  • Attend meetings and or marketing events as and when required
  • Answer and respond to incoming calls quickly and efficiently
  • Contribute to the development of the company sales and marketing administration activities.
  • Compliance with all existing company systems, procedures and work practices
  • Maintain filing and literature system
  • Responsibility for the image projected by the sales office – cleanliness / clutter etc.
  • Develop and work within a team culture, assisting colleagues as and when required
  • Ad-hoc duties as requested by the sales manager and or senior Management team
  • Working to achieve external and team targets
  • Production of regular and ad-hoc reports (as directed) for Sales Manager
  • Act as local administrator and receptionist handling calls and visitors to the offices
  • Responsible for the accurate input of information into the company system, as defined by the Sales Office Procedure
  • General administration duties
  • Liaising with other departments, staff and group companies
  • Ensuring that I G Doors is always presented in a positive manner
  • The role will be principally office based but may involve occasional outside visits
